What Happens After We Build Your System
The number one question people ask before committing: “What happens after you build it?”
Not what’s in it. Not how it works. What happens when you leave.
Fair question. Nobody wants to pay for something that collects dust. So here’s exactly what the handover looks like, what the first month feels like, and how the system grows with you.
The handover: what you actually get
When we finish your build, you receive a complete working system. Plain files, no proprietary platform, nothing you can’t open in a text editor.
Here’s what lands in your hands:
- Structured context — your contacts, workflows, knowledge, and business data cleaned and organised into AI-readable formats
- Custom agents — each with a defined role, clear instructions, and your business context baked in
- Documented workflows — step-by-step processes your agents follow, written so you can read and edit them yourself
- A README — the master guide. What’s in your pod, how to use each agent, and how everything connects
Everything is portable. You own it outright. If we disappear tomorrow, your system keeps working.
Week 1: getting started
The first thing you do is simple. Open Claude or ChatGPT, point it at your context, and ask it something.
“Prep me for my call with Sarah at 2pm.”
“Draft a follow-up email to the leads from last week.”
“What’s overdue in my pipeline?”
Your agent already knows your clients, your voice, your processes. It doesn’t ask you to explain your business every time. That’s the difference.
In week one, most people:
- Run through the README and get familiar with what’s where
- Try each agent on a real task, not a test
- Notice the speed difference — things that took 30 minutes now take 5
- Start trusting the system enough to use it without thinking about it
We’re available during this period. Questions come up. Stuff needs tweaking. That’s normal and expected.
Month 1: what actually changes
By the end of the first month, the shift is tangible. Not dramatic, not overnight — but real.
Less admin. The repetitive stuff that ate your mornings — meeting prep, status updates, data entry, follow-up emails — agents handle it. You review and send instead of writing from scratch.
Better follow-ups. Nothing falls through the cracks because your system tracks it. The weekly review workflow flags what needs attention before you have to remember it yourself.
Faster decisions. When your context is structured, you can ask real questions and get useful answers. “Which clients haven’t heard from us in 3 weeks?” takes seconds, not a trawl through your inbox.
Consistency. Your agents write in your voice, follow your processes, and apply your standards. Output quality stops depending on how much time you have that day.
Ongoing: the system evolves
Your business changes. Your system should too.
New service offering? Add it to context and update the relevant agent. Hired someone? Build them an onboarding workflow. Changed your sales process? Rewrite the workflow file — it’s just markdown.
There are two ways this happens:
Self-service. Your pod is plain files. If you’re comfortable editing markdown, you can update context, tweak agent instructions, and add new workflows yourself. Many clients do this from month two onwards.
Retainer. If you’d rather not touch the internals, we offer a monthly retainer. We keep your context current, build new agents as your needs shift, and handle optimisation. You focus on the work. We maintain the system.
Most people start with a bit of both. They handle small updates themselves and come to us for bigger changes.
What if you need help later?
We’re here. That’s the short answer.
But the longer answer matters more: your system works without us. There’s no dependency. No monthly fee you have to keep paying for things to function. No API key that expires if you cancel.
Your pod is files on your machine. Your agents work with whichever AI model you choose. If you never speak to us again, everything keeps running.
If you do need help — a new agent, a restructure, troubleshooting — we do one-off builds and retainer work. No lock-in either way.
The real answer to “then what?”
You use it. Every day. It gets better the more you use it because your context gets richer and your workflows get tighter.
The anxiety before buying is always the same: “Will this actually change how I work, or will it sit in a folder?”
The answer depends on you. But we build systems that are hard to ignore — because they’re useful from day one, built around your actual work, and simple enough to just open and use.
No onboarding course. No 47-step setup. Open your AI tool, point it at your pod, and start.
